Terms of Use for the Baltic Family Transfer Website and Services

These Terms govern the booking, payment, modification, and cancellation of journeys, as well as the rights and responsibilities of the customer and Baltic Family Transfer.
Please read them before confirming your booking.

1. General Provisions

These Terms of Use govern enquiries, bookings, and the provision of Baltic Family Transfer services through eurotransfer24.eu, messaging services, email, and other agreed communication channels.
Baltic Family Transfer arranges private passenger transfers on routes agreed in advance.
By submitting an enquiry, the customer provides the information necessary to calculate the journey. Submitting an enquiry does not automatically constitute a confirmed booking.
A journey is considered confirmed once the parties have agreed on the essential terms of the booking, including the route, date, time, number of passengers, luggage, price, and any other relevant conditions of the specific journey.

2. Description of the Service

Baltic Family Transfer arranges private car journeys on routes agreed in advance.
The service may include pickup from a specified address or airport, transportation of passengers and agreed luggage, necessary stops during the journey, a child seat or booster seat, transportation of a pet, and other additional arrangements where these have been agreed in advance.
The route, price, vehicle pickup time, and other essential terms of the journey are agreed with the customer before the booking is confirmed.
For a specific journey, Baltic Family Transfer may use its own driver and vehicle or engage a transport partner or another authorised service provider.

3. Enquiry and Booking Confirmation

Submitting a form on the website or contacting us via WhatsApp, Telegram, email, or another communication channel constitutes an enquiry for a trip quote and arrangement of the journey. It does not, by itself, constitute a confirmed booking.
After receiving the enquiry, Baltic Family Transfer checks whether the requested journey can be arranged and agrees the main terms with the customer.
A booking is considered confirmed once Baltic Family Transfer has provided the customer with the main terms of the journey, including the price, and the customer has confirmed their acceptance.
Confirmation may be made through correspondence in a messaging service, by email, or through another agreed written communication channel.
The confirmation may include:
  • the date and time of the journey;
  • the route and addresses;
  • the number of passengers;
  • luggage details;
  • special requirements;
  • the agreed price;
  • pickup and communication arrangements;
  • vehicle and driver details once assigned.
Where a round trip is booked, the terms for both journeys may be agreed in advance. Where necessary, the details of the return journey may be reconfirmed before travel.

4. Journey Price and Payment

The price is agreed before the booking is confirmed and is based on the route, date and time, vehicle, number of passengers, luggage, additional addresses, and any other agreed conditions.
Once the booking has been confirmed, the agreed price does not change as long as the conditions of the journey remain unchanged.
Normal short stops where reasonably necessary — for example for a toilet break, water, a child, or a passenger’s wellbeing — do not in themselves constitute a change of route and are not a reason for an additional charge.
The price may be recalculated if, after confirmation, there is a significant change to:
  • the pickup or destination address;
  • the route or additional stops;
  • the number of passengers;
  • the amount or volume of luggage;
  • the travel time;
  • the required type of vehicle;
  • other circumstances that materially affect the performance of the booking.
Any revised price must be agreed with the customer before the modified service is provided.
The payment method, currency, and timing of payment are agreed at the time of booking.

5. Advance Payment

For most standard journeys, Baltic Family Transfer does not require an advance payment.
An advance payment may be requested where fulfilling the booking requires a vehicle or driver to be specially dispatched to the pickup location in advance and Baltic Family Transfer incurs costs before the passenger is collected.
For example, an advance payment may be required where a vehicle has to travel specifically to collect the customer in Warsaw or another distant city where a suitable vehicle is not already available.
In such cases, the advance payment is:
20% of the agreed journey price, but not less than EUR 30.
The advance payment is intended to partially cover the costs of the special vehicle dispatch, driver arrangements, and the reservation of resources for the specific booking.
The customer is informed of the need for an advance payment, its amount, and the payment method before making the payment.
If the customer cancels the journey at least 24 hours before the agreed vehicle pickup time, the advance payment will be refunded.
If the cancellation is made less than 24 hours before the agreed pickup time, any refund of the advance payment will be determined taking into account whether costs directly related to the special vehicle dispatch and performance of the specific booking have already been incurred.

6. Changes or Cancellation by the Customer

If the customer’s plans change, the customer should inform Baltic Family Transfer as early as possible through the agreed communication channel.
Changes to the date, time, route, address, number of passengers, luggage, or other essential terms are not automatically guaranteed and depend on whether the journey can be performed under the new conditions.
Where the essential terms change, Baltic Family Transfer may:
  • confirm the new arrangements without changing the price;
  • offer a different time or vehicle;
  • recalculate the price;
  • inform the customer that the booking can no longer be fulfilled following the requested change.
Any new arrangements must be agreed with the customer before the journey.
If an advance payment has been made, the refund rules set out in Section 5 of these Terms will apply.

7. Right of Withdrawal and the 14-Day Cooling-Off Period

To the extent that the agreement concluded with the customer constitutes a contract for passenger transport, or directly concerns the provision of passenger transport services, the general 14-day right of withdrawal applicable to most distance consumer contracts does not apply in the usual way.
Under Article 3 of the Polish Consumer Rights Act, contracts relating to passenger transport are excluded from the main scope of that Act, except for the provisions expressly specified therein.
Accordingly, the possibility of cancelling a confirmed journey and the financial consequences of cancellation are governed by these Terms, the conditions of the specific booking, and any mandatory provisions of applicable law.
Nothing in this section limits any consumer rights that cannot be excluded or restricted by contract under mandatory law.

8. Waiting Time and Passenger No-Show

The vehicle pickup point, pickup time, and meeting arrangements are agreed in advance.
If the passenger is not present at the agreed location or cannot be reached, Baltic Family Transfer will make reasonable attempts to contact the passenger through the agreed communication channel and, where available, using an alternative contact.
If the passenger does not appear, cannot be contacted, and a reasonable waiting period has expired, the journey may be treated as not having taken place due to the customer’s no-show.
Where costs have already been incurred as a result of the no-show, including costs related to the special dispatch of a vehicle or driver, those costs may be taken into account when determining any refund of the advance payment in accordance with Section 5.
Where the person making the booking and the passenger are different individuals, the person making the booking is advised to provide a valid telephone number for the passenger in advance.

9. Flight Delays

For airport pickups, the customer should provide the flight number in advance where possible.
If the agreed flight is delayed, Baltic Family Transfer will adjust the pickup time and remain in contact with the customer.
Up to 2 hours of waiting due to a delay of the agreed flight are included at no additional charge.
If the delay exceeds 2 hours, Baltic Family Transfer will contact the customer to agree on the next steps.
If further waiting requires a change of vehicle or driver, or results in additional costs, any revised arrangements will be agreed with the customer in advance.

10. Border Crossing and Travel Time

Journeys between the European Union and the Kaliningrad Region may be affected by the operation of border crossings, decisions of public authorities, queues, road conditions, and weather.
Baltic Family Transfer cannot guarantee:
  • the absence of queues;
  • a specific duration of border control;
  • the decisions of border or customs authorities;
  • an exact time for crossing the state border.
We can help the customer allow a reasonable amount of extra time, provide practical information available to us, and remain in contact throughout the journey.
Baltic Family Transfer does not offer or use any methods intended to bypass mandatory border, customs, immigration, or other legal requirements.

11. Luggage, Children and Pets

The amount and type of luggage must be disclosed before the booking is confirmed.
Non-standard, oversized, or significantly increased luggage may require a different vehicle and a revised price.
Passengers must not carry items or substances whose transport is prohibited by law or which may pose a risk to people or the vehicle.
When travelling with a child, the customer must inform us in advance of the child’s age and whether a child seat or booster seat is required.
Travelling with a pet is possible subject to prior agreement.
The customer is responsible for ensuring that all documents and requirements necessary for the lawful transport of the animal and for crossing the border are in place.

12. Travel Documents and Customer Responsibilities

The customer and all passengers are responsible for ensuring that they have valid documents required for the journey and for crossing the relevant national borders.
Depending on the specific circumstances, these may include a passport, visa, residence permit, documents for a child, any required consents, documents for an animal, and other relevant documentation.
Baltic Family Transfer may provide practical information or draw attention to known requirements; however, such assistance does not constitute legal, immigration, or consular advice.
The final decision on whether a person may cross a national border is made by the relevant public authority.
The customer is responsible for providing accurate information necessary to arrange the journey and for informing us promptly of any changes.

13. Replacement of the Vehicle or Driver

Baltic Family Transfer aims to perform the journey under the agreed conditions.
If the originally assigned vehicle or driver is unable to complete the journey due to a breakdown, illness, accident, or another operational reason, Baltic Family Transfer will take reasonable steps to arrange a replacement.
Where possible, the customer will be informed in advance of the new driver, vehicle details, and any revised pickup time.
A transport partner or another authorised carrier may be engaged to perform the journey.
If the journey cannot be performed and a suitable replacement cannot be arranged, the customer will be informed without undue delay. Any payment relating to the part of the service that was not provided will be refunded in accordance with applicable law and the terms of the specific booking.

14. Liability and Circumstances Beyond Baltic Family Transfer’s Control

Baltic Family Transfer is responsible for fulfilling its obligations in accordance with applicable law.
Baltic Family Transfer cannot guarantee circumstances that are beyond its reasonable control, including in particular:
  • decisions of border and customs authorities;
  • the duration of border control;
  • the closure of, or restrictions affecting, a border crossing;
  • sudden changes to entry requirements;
  • significant road restrictions;
  • extreme weather conditions;
  • actions of public authorities or emergency services;
  • flight delays;
  • consequences arising from a passenger’s failure to have the required travel documents.
The occurrence of such circumstances does not release Baltic Family Transfer from its obligation, where reasonably possible, to remain in contact with the customer and provide information about the available next steps.
Nothing in these Terms excludes or limits Baltic Family Transfer’s liability where such liability cannot be excluded or limited under applicable law.

15. Complaints and Enquiries

If the customer believes that the service was not provided properly, they may submit a complaint by email to:

To help us review the complaint, we recommend including:
  • the customer’s name and contact details;
  • the date and route of the journey;
  • information allowing us to identify the booking;
  • a description of the issue;
  • the customer’s request or expected resolution;
  • supporting documents or other relevant materials, where necessary.
A response to the complaint will be provided within the period required by applicable law, taking into account the nature of the specific service and the legal basis of the complaint.

16. Website Use and Final Provisions

Through eurotransfer24.eu, users may free of charge:
  • view information about the services;
  • submit a request for a trip quote;
  • provide the contact details necessary to arrange the journey;
  • access the available communication channels.
The processing of personal data is governed by a separate Privacy Policy and Personal Data Processing Policy.

These Terms must be made available to the customer before the booking is finally confirmed, so that the customer has an opportunity to review them.
The version of the Terms in force at the time the booking is confirmed applies to the confirmed journey, unless the parties agree otherwise in writing.
Changes to these Terms do not retrospectively alter the terms of an already confirmed booking.
Matters not covered by these Terms are governed by the mandatory provisions of Polish law, European Union law, and any other applicable legal rules.
If any provision of these Terms is found to be invalid or unenforceable, this does not in itself affect the validity of the remaining provisions.
